Administrative Assistant Essential Functions:

  • Candidates will be responsible for office administration, scheduling and coordination of construction projects according to specifications.
  • Ensure insurances are in compliance for subcontractors and company
  • Must be comfortable driving in 4×4 vehicle when needed for company errands and client needs in inclement weather
  • Must be able to lift 35+ lbs
  • Willing to help any team member with their needs at any time
  • Flexible, Focus, Detailed oriented, and driven
  • Pass a background check
  • Able to multi-task in a fast paced, deadline driven, service oriented environment
  • Administrative tasks such as accurate filing (digital & paper) typing, answering telephone directing calls/taking messages, mail management, copying, faxing, managing Google Calendar functions, and other tasks as needed
  • Sorting and distributing mail to team as well as vendors
  • Scheduling and coordinating meetings as needed
  • Office supplies and inventory management able to plan ahead and ensure that all supplies are accurately tracked, and supply inventories are replenished as necessary
  • Telephone/internet systems management
  • Greeting office guests in a professional and personable manner, ensuring that welcome area is kept tidy and refreshments are replenished
  • Promotes professionalism and coordination between office and field teams, provides back up to team duties as necessary
  • Act as a resource for all office/field staff members
  • Assist Project Managers, Project Coordinators, and Superintendents with any administrative support as needed

Required Education and Experience:

  • Previous experience in fast-paced office environment and must be a self – starter, able to work productively with minimal supervision, driven to follow through with all tasks
  • Previous experience with a general contractor on residential building projects.
  • Good working knowledge of computer programs -Word, Excel, Google services, Gmail, etc
  • Very detail oriented, organized and reliable
  • Must be a team player with a positive attitude
  • Interested in a career in the construction industry
  • Excellent written and oral communication skills, customer service industry background, ability to problem solve
  • Ability to maintain confidentiality with sensitive financial information

Preferred Education and Experience:

  • Previous experience with high-end residential construction Bachelor/Associates degree in business administrative, human resources management or a related field
  • CO State Notary
  • Knowledge of PlanGrid, CoConstruct or other construction related software
