ROLE DESCRIPTION
Berglund Architects is looking for a collaborative, communicative, detail-oriented individual to join the team as a full time or part time Administrative/Marketing Assistant.
*Those with a graphic design background or website development background are strongly encouraged to apply.

The Administrative Assistant will help us uphold the firm’s cultural values – mentorship, collaboration, work-life balance, and diverse perspectives.
TASKS AND SKILLS
Tasks include, but are not limited to:
Answer phones – screening calls and redirecting to the appropriate staff member
Greeting clients, builders, vendors, etc. – again screening vendors and directing to appropriate person in firm
· Project support such as document tracking and filing
Website – adding draft version of images and text to website templates, writing draft text for project descriptions
Advertisements – creating new adds using the established templates
Billing – managing billing process using firm’s billing software, entering bills and consultant invoices to billing software, producing draft bills for review by principals, finagling and sending out bills, following up with clients about payment
· Marketing support such as coordinating adds, website and assisting with the delivery of local proposals
· Typing meeting notes and excel spreadsheet work such as updating office employee/ project work schedule
Running errands, such as dropping off and picking up drawings at Rocky Mountain Reproduction in building next door – this is couple times a day
Dropping packages and letters at Post Office, FedEx box, UPS etc.
· Picking up mail at Post Office 2 – 3 time/ week – work and personal
· Ordering and picking up lunch for office lunches/staff meetings/client meeting
· Coordinating internal events
· Managing and ordering office supplies
Ordering, organizing, packaging, and shipping client and contractor/consultant holiday gifts
Making business travel arrangement for principals in office
Depending on applicant possibly assisting with interior design process
WHO YOU ARE
· Tech savvy, and willing to learn/understand industry specific software
· Pay great attention to detail
· Organized
· Able to prioritize work and meet deadlines
· Comfortable working under varying levels of pressure and with requests from numerous people
· Time-management expert
· Enjoy the mountain experience and lifestyle
EXPERIENCE
· Use of Microsoft products (Word, Excel, etc.) – significant experience and knowledge a plus
· Experience working in Adobe Illustrator, Photoshop, and InDesign highly recommended
· Experience working with professional contracts a plus, but not required
· Experience working with website software a plus, but not required
· Associates Degree or higher
· Familiarity with architecture or engineering a plus, but not required
· 2+ years in a similar position desired

Initially anticipated to be a contract hourly employee without benefits. If becomes a fulltime role, benefits are provided. Pay is likely in the range of $35 per hour to start depending on experience.
