We’re looking for a Housing and Tourism Administrative Specialist to deliver exceptional customer service to City staff, outside agencies, and our community. Working under the general supervision of the Housing and Tourism Officer, you’ll collaborate with the Housing and Tourism Division and Community Development Department to support programs and projects. Your responsibilities will include a diverse range of administrative and clerical tasks, such as addressing public inquiries, processing open records requests, maintaining departmental calendars, and assisting with finances and budget preparation.

What You’ll Do in This Role:

  • Provide information to internal and external customers.
  • Prepare, proofread, and independently compose documents such as reports, letters, meeting minutes, and statistical data.
  • Attend meetings, organize meeting materials, take notes, and share information as needed.
  • Support budget preparation and perform financial duties, including monitoring expenditures, processing purchase orders, reconciling purchasing cards, handling invoices, maintaining budget records, and supporting grant applications and reimbursements.
  • Process open records requests, gathering and uploading information for public access.
  • Maintain department filing systems and records.
  • Manage the division’s calendar of activities, coordinating with other City departments and outside groups.
  • Prepare legal notices and documents.
  • Use various software applications to organize information and support division programs and projects.
  • Update and maintain the division’s website.
  • Prepare monthly reports and help with special projects when needed.

You Have:

  • A high school diploma or GED.
  • Three years of increasingly responsible experience in administrative support.
  • Excellent customer service skills, both written and verbal.
  • Proficiency in using computers, specialized software, and office equipment.
  • Knowledge of record-keeping principles and maintaining confidential records.
  • Ability to prepare clear and concise reports and business correspondence.
  • High level of initiative and self-management.
  • Ability to set realistic goals, complete assignments independently, and continuously learn and apply new skills.
