Ski Village Commercial Property Manager Overview: The Commercial Property Manager position supports and assists in the management of commercial real estate in accordance with the Management Agreements. The Commercial Property Manager is involved in all aspects of day-to-day operations of the property, including tenant relations, maintenance and repair, security, janitorial services, landscaping, snow removal, etc. The Commercial Property Manager represents commercial owner and tenant interests within the resort and common interest communities, handles tenant complaints and service requests, and must be familiar with the terms of tenant leases. The Commercial Property Manager assists in the preparation of the annual budget, reporting and financial performance of the property. The Commercial Property Manager is charged with supporting management’s efforts in the day-to-day implementation of policies, procedures and programs that will assure a well- managed, well maintained building, placing maximum emphasis on positive responses to the concerns and needs of the tenants, environmental health and safety, and quality programs in coordination and conjunction with the Owner’s goals and objectives. In absence of Executive staff the Commercial Property Manager Responsibilities: • Provide excellent tenant service. Respond to tenant requests/problems in a timely and courteous manner and generate work orders directed to vendors or maintenance staff. Follow-up with the tenant to ensure satisfactory resolution of the issue. Ensure that there is always 24-hour emergency coverage for the property. • Being on-call 24 hours, managing and delegating maintenance staff and contractors. • Conduct periodic inspections of the property and tenant spaces to ensure compliance with leases and the proper upkeep of the property. • Ensure that property and lease files are properly maintained and kept up to date in accordance with company policy. • Responsible for applicable center- appearance, maintenance. • Tracking approvals for each project. • Sourcing vendors and potential contractors for projects at the ski village. • Verifying scope of work for projects with the construction manager. • Bidding small projects. • Maintaining box.com (data) system folders. • Understanding the landlord responsibilities related to property management, tenant buildouts and timelines. • Coordinate with marketing manager to be onsite for events. • Day to Day vendor management • Oversee the condition and maintenance programs of applicable key asset systems, HVAC equipment, electrical equipment, property vehicles, and music system. Duties included, but not limited to the below: • Walk different sections of the property based on the inspection schedule and inspect all applicable structures, landscape and hardscapes for damage, changes in condition and risks including but not limited to wind damage, debris, building settlement, deterioration, trip hazards, driving hazards, etc. o Document any/all issues via the company checklist with adequate photographs and enter in system o Meet with each tenant to ensure any issues not previously reported are identified and tenant is satisfied with property management; ensure any tenant required maintenance issues are being addressed properly • Maintain lockboxes and keys with master key and individual keyed boxes for all empty spaces and common areas o Manage tenant vacancies, new tenants and terminating tenants’ keys and lockboxes • Available nights and weekends to respond to emergencies in a timely manner at the centers as may arise • Enter Work Orders into our WO system with all appropriate documentation o Initial reporting, correspondence, bidding, purchase orders/contracts, scheduling, tenant coordination, completion o Obtain multiple quotes for any project at or above $5,000. Anything above $5K/goes into Procore. o Obtaining necessary approvals • Establish contractor and vendor relationships: o Engage contractors to quote projects and qualify bids for equivalent comprehensive scopes o Make recommendations to construction manager o Meet vendors onsite who are bidding maintenance contracts or projects. o Coordinate with insurance administrator to qualify contractors prior to commencing work on properties to ensure COI and indemnification agreements are obtained and maintained. o Provide periodic inspections of vendors during Capex projects and construction projects to ensure cleanliness and orderliness of project, coordination with tenants and monitoring progress and quality.
