JOB FUNCTION/PURPOSE: Perform a variety of Accounting and Accounts Payable tasks requiring individual judgment with an emphasis on accuracy and ability to multi-task and respond quickly to requests from internal and external customers in accordance with Company policy and accepted accounting practices. RESPONSIBILITIES: 1) Manage incoming invoices, statements and requests received in Accounts Payable 2) Enter and post all Accounts Payable invoices into accounting software, including scanning, entering header information and routing to approvers 3) Review rejected Accounts Payable invoices and assist internal and external teams to resolve issues 4) Prepare and process check runs and special check requests while monitoring for errors and duplicate payments to prevent fraud 5) Research past due amounts and reconcile monthly statements to invoices entered in the accounting software 6) Assist project teams with project closeout by reviewing and processing retainage releases prior to final payment 7) Assist with internal and external Accounts Payable questions and trouble shooting 8) Monitor bank accounts and submit positive pay files to bank 9) Set up new Business Partner/Vendors for payment processing in accounting software 10) Maintain Business Partner/Vendor W-9 data for year-end 1099s 11) Work with various credit platforms to export/import data and make payments 12) Enter adjustments to move costs 13) Provide coverage for front desk as needed 14) Perform other special projects and accounting duties as assigned SUPERVISION: Works with a team and independently under general supervision SUPERVISORY DUTIES: None JOB QUALIFICATIONS: Knowledge: 1) A general understanding of accounts payable systems, procedures, financial chart of accounts, construction job costing and corporate procedures Skills and Abilities: 1) Data entry with a high degree of accuracy 2) Strong attention to detail 3) Intermediate computer skills 4) Organizational and time management skills 5) Communicate verbally and in writing in a positive and professional manner 6) Research and problem-solving skills 7) Ability to handle confidential information in a discrete, professional manner Education: 1) High school graduate 2) College level courses in accounting preferred Experience: 2+ years of AP experience or equivalent combination of education and experience WORK ENVIRONMENT/PHYSICAL ACTIVITIES 1) Must understand vague and implicit instructions 2) Must react positively in all work situations 3) Must be adaptable and flexible in dealing with a variety of people and situations 4) Must be able to do intermediate math calculations 5) Must be able to enter data into a computer and analyze the data from written or printed documents 6) Requires prolonged sitting or standing. Some bending and reaching may be required.
