The Advancement department at Vail Mountain School is looking for an advancement coordinator to join the team. Advancement is the forward facing arm of the school focused on marketing, communications, and admissions. In addition, we work with the community to raise funds to support the school and its mission. The Advancement Coordinator is a member of the team, working directly with school personnel and parent volunteers to foster a strong sense of community, an excellent reputation and a culture of philanthropy.

Who You Are:

  • A “raise your hand” type of person. You’re interested in participating in school events like  orientation trips, field trips, sitting at lunch tables, assisting with carpool, hut trips, and Ski Fridays as necessary. You are ready to participate fully in the life of the school.
  • Willing to provide general supervision of students
  • Able to communicate in a timely and professional manner with students, parents, colleagues, and volunteers
  • Ready to attend related meetings and assist with afternoon/evening programs; some of which may occur outside of the school day
  • Actively promoting the mission of the school
  • Bachelor’s Degree  from four-year college or university required
  • Possess 2 years (or more!) of office support, admissions and/or development experience
  • Experience with the following a plus: CRM, Drupal, Bidpal, SurveyMonkey, Google Suite, Raiser’s Edge, PCR, MailChimp
    Bonus points for experience with Photoshop, InDesign, and photography

What You Will Do:

  • Own Vail Mountain School’s development database. You are in charge of “good data IN and good data OUT”
    (Bonus points for previous use of the Raiser’s Edge database)
  • Oversee our annual development Gala’s execution.
    1. Branding, marketing, and online and printed communications and collateral. Coordinate with director of marketing and communications on targeted Facebook posts and ads to promote silent auction.
    2. Manage Bidpal and the back-end of silent and live auction bidding.
    3. Oversee volunteers during preparation and planning, night-of, and post-event.
    4. Run and participate in weekly Gala meetings with internal and external stakeholders.
  • Work with business office to maintain up to date giving records, manage outstanding pledges and invoices. Coordinate communications with donors of outstanding pledges.
  • Research for potential donors in conjunction with the director of advancement
  • Produce and coordinate the Annual Fund Mailer and Campaign
  • Work with the Director of Advancement to implement a diverse and multifaceted Advancement Calendar to support the school’s strategic vision.
  • Support and collaborate with the Parent Partners community to ensure a successful volunteer program at the school.
  • Coordinate and support a wide variety of Advancement events including Volunteer Party, Leadership Dinner, some admissions events, and other donor/community events.
  • Manage internal communication structure
  • Work with the advancement team to source content for and edit school publications.
  • Work with Parent Partners.
  • Support the Director of Admissions and Advancement Team with admissions and retention related events including but not limited to Open Houses, Kindergarten Screening, Back to School Night
  • Support the growth of a strong alumni program
  • Attend and participate in internal advancement team meetings and external advancement committee meeting.
