Position Summary
The Program and Development Coordinator position is a full-time position based in Vail, CO. This individual is primarily responsible for coordinating all aspects of programming offered by Vail Veterans Program. The position is also responsible for ensuring that Vail Veterans Program’s interactions with our community have a consistent, positive, and professional brand by implementing a marketing and communications plan and coordinating all events and community engagement. The ideal candidate is organized, energetic, creative, and will have excellent verbal and written communication skills. This individual must be a team player, willing to do all tasks at hand, and thrive in a fast pace and innovative environment, with people who are passionate about their work and mission.
 
Duties/Responsibilities
Leadership
-Work closely with the Executive Director and Programs Manager to ensure quality and execution of programs.
-Cultivate collaborative working relationships with vendors with the goal of ensuring effective and efficient program delivery.
-Serve as a representative of the Vail Veterans Program in the Vail Valley and beyond.
 
Program Operations
-Work closely with the Programs Manager to coordinate logistics of all aspects of year-round programming.
-Coordinate volunteers and vendors.  
-Ensure program operations and activities adhere to internal policies.
-Ensure vendors adhere to VVP expectations.
-Oversee the collection and maintenance of records consistent with the confidentiality/privacy policy of the organization.
-Create, enter and maintain constituent and participant database profiles in Bloomerang, Mail Chimp, and other programs to identify alumni participants and program needs.
-Assist to ensure accurate participant and constituent tracking.
-Assess the need for volunteers to enhance program/service delivery and identify volunteer assignments that provide meaningful work for volunteers and track volunteer time for each program or event.
 
Development & Communications
-Assist the Executive Director to maintain marketing assets including: website, annual report, quarterly newsletters, brochures, flyers, invitations, annual appeals, and other outreach materials.
-Assist with social media communications and website updates.
-Work closely with the Executive Director to coordinate all logistics, promotion, and records of fundraising events in conjunction with event partners.
-Assist the Executive Director and Programs Manager to ensure all donors, program, and event sponsors are properly acknowledged in a timely manner.
-Work closely with the Executive Director to help prepare grant proposals and follow up reports to ensure grant compliance.
-Maintain Vail Veterans Program fundraising database, Bloomerang.
 
Financial Support
Support with tracking all program expenditures.
 
Administrative
Work closely Executive Director and Programs Manager to:
-Coordinate fundraising events and program supply orders.
-Maintain supplies inventory: check stock inventory level; anticipate supply needs; place and expedite orders; verify receipt and invoice payment.
-Maintain computer and manual filing systems.
-Support staff with invoice payment tracking.
-Check, sort and distribute mail.
-Deposit, file and appropriately input donations.
-Maintain a clean and organized workspace.
-Run program related errands and create packets and materials for programs.
-Other duties as assigned.
 
Other
-Vail Veterans Program is a small office environment where everyone pitches in where needed. The right candidate will be willing to wear a variety of hats and perform miscellaneous job-related duties as assigned.
 
Qualifications
Education/Experience Requirements
-Bachelor’s degree or equivalent experience in program management, public relations, marketing and/or communications.
-One year of demonstrated experience in program management, communications, and/or marketing.
-Experience with a nonprofit work environment, fundraising, and special events is preferred.
-Experience using Facebook, LinkedIn, Twitter and other social media platforms in a professional setting.
-Experience using Microsoft Office (including Publisher), MailChimp, Constant Contact or other email marketing service, Adobe Suite, WordPress, and a Bloomerang or other web-based content management system, highly desirable.
 
Knowledge, Skills, and Abilities
-Passionate about the mission and vision of Vail Veterans Program and establishing lasting relationships with participants, volunteers, donors and vendors.
-Self-motivated, energetic, and able to thrive in a fast-paced, deadline driven environment.
-Strong editing, writing skills and storytelling style.
-Working knowledge of graphic design best practices for both print and web.
 
Work Environment
-Occasional outside travel.
-Evening and weekend work hours are required during programs and events.
-May be required to lift boxes and other objects of various weights up to 30 pounds.
-The majority of work is performed inside but will require some outside work as necessary to facilitate program and fundraising events.
 
Salary/Benefits
-This is a salaried position and salary will be based on experience.
-Vail Veterans Program offers 10 days of paid time off and 10 paid holidays.
