Office Manager/Administrative Assistant/Receptionist

Office Manager/Administrative Assistant for award-winning design firm in Avon, CO. Front desk responsibilities include greeting visitors, answering phone, screening for spam calls, taking phone messages, checking voice mail and company emails, and opening the office. Proficiency in MS Word, MS Excel, MS Outlook, and Adobe Photoshop desired.
Additional duties include:
- Pick up, distribute, and send all office mail & packages (FedEx, UPS, and USPS)
- Coordinate large delivery receiving
- Handle and reconcile petty cash
- Document and deposit all received payments
- Send reports to and assist Accountant with various tasks
- Local errands as needed (pickups/drop-offs of project related materials)
- Oversee all office supplies, equipment, and services (i.e. ordering paper, copier service, copier jams, maintenance service, landscape services, replacing chairs, setting up conference rooms, etc.)
- Drop off office recycling weekly/bi-weekly
- Maintain kitchen supplies, bi-monthly refrigerator clean, coffee
- Coordinate travel arrangements and accommodations for principals and associates
- Track conference room scheduling to prevent conflicts
- Leading and documenting bi-weekly staff meetings
- Organize and perform purchasing for all Office Events
- Assist in managing and archiving physical project files
- Coordinate with IT for office needs
- Support Management/Principals with tasks on an as-needed basis
- Collect and submit employee timesheets within specified deadlines
- Track employee time-off schedules
- Post and monitor job applicants
- Oversee new hire orientation (prepare space for new employee, new hire paperwork, first day walkthroughs, answering questions)
- Organize and maintain project files
- Edit and track Owner-Architect and Architect-Consultant agreements
- Edit project manuals and specifications
Optional opportunities include:
