Overview: The Events & Venue Manager is responsible for management of the Dillon Amphitheater and town events. This includes strategic planning, budgeting, employee management, facility maintenance, and event oversight.

Reports To: Events and Recreation Director

Duties & Job Responsibilities:

·         Provide excellent customer service to the public, event attendees, coworkers, and partners, at all times. This includes having professional interactions with customers, providing accurate information, and having general knowledge of Town of Dillon events and happenings.

·         Develop, organize, plan, supervise, support, and manage all day-to-day operations and long-term planning of the Dillon Amphitheater and town special events and public programming.

·         Oversee program administration and staff leadership, which includes recruitment, selection, hiring, training, coaching, scheduling, management, delegation, and evaluation of full-time and seasonal staff, partner organizations, and volunteers. Set and monitor quality and service standards for staff. Monitor and assure employee performance. Manage discipline and terminations as required.

·         Administer and enforce company and departmental safety rules, operating procedures, policies, and regulations for employees and the public.

·         Oversee employee training regarding standard operating procedures and appropriate emergency response procedures. Assure compliance with all related safety and risk management programs.

·         Assist with developing annual budgets, setting pricing, and negotiating agreements. Monitor expenditures and prepare various financial analyses. Develop long-term projections of revenues and expenditures for planning purposes.

·         Identify community needs and recommend appropriate events and performing arts programs. Stay current on music industry trends and opportunities.   

·         Actively engage with vendors, performers, promoters, and partners to foster a professional relationship.

·         Oversee and coordinate the opening and closing operations and logistics of the Dillon Amphitheater each season.

·         Assist in the dissemination of prompt, accurate public information during emergency and disaster situations. Responsible for responding to, communicating, monitoring, and documenting incidents and emergencies, including, but not limited to: medical, severe weather, and missing child events.

·         Perform accounting and clerical duties as needed. Receive and process payments, invoices, credit card statements, and timecards promptly.

·         Oversee the purchase of amphitheater and events supplies.

·         Maintain amphitheater facility and equipment, and implement safety policies and procedures to ensure compliance with health and safety regulations.

·         Maintain cleanliness of venues before, during, and after events. Ensure all work areas and facilities are clean and safe for participants, guests, and staff. This includes delegating and participating in the clean-up and removal of all messes and waste/recycling.

·         Schedule the use of park and town-owned facilities for program activities.

·         Assist Events and Recreation Director with evaluating performers and event programming effectiveness.

·         Oversee environmental sustainability programs related to events and the Dillon Amphitheater.

·         Meet with public groups, clubs, organizations, partners, and agencies to explain and promote amphitheater and events programs and encourage community participation.

·         Lead events meetings and participate in required staff meetings regularly.

·         Prepare and implement proposals, contracts, and follow-up reports for town-sponsored and third-party-managed special events.

·         Manage third-party events as the town’s representative.

·         Manage and coordinate various employee and Town Council events.

·         Prepare and distribute pre-event through post-event communications including meeting agendas, surveys and results, timelines, meeting notes and other communications to all participants.

·         Work with Marketing Department to design, prepare, and distribute publicity such as press releases, flyers, social media, and print materials.

·         Develop, foster, and maintain working relationships with members of the public, media, vendors, service providers, promoters, other venue managers, public safety agencies, medical providers, local businesses, and other town personnel.

·         Work closely with the Summit Fire Department regarding venue and event inspections and other requirements.

·         Work closely with Summit County Environmental Health with vendor packets and inspections.

·         Assist with directing and managing event sponsorship development initiatives.

·         Assist in the selection and recommendation of external vendors that support town initiatives. Develop corporate and community partnerships, as directed.

·         Work shifts required to meet the needs of the amphitheater schedule. This can include late nights, early mornings, weekends and holidays.

·         Remain current on Town of Dillon issues and trends; attend town council meetings as necessary and assist in preparing reports and staff summaries for town council packets.

·         Respond to complaints and requests for information.

·         Maintain program records and files.

·         Work closely with other departments to prepare amphitheater and event spaces for programs and rentals.

·         Assist with and coordinate special use permits.

·         Assist recreation and marketing departments as needed.

·         Perform other duties as assigned.

Work Environment/Physical Activities:

·         Must be able to work outside in all weather conditions.

·         Exposure to sun, heat, cold, dust, precipitation, fuel, grease, and other conditions and chemicals commonly found in an events and amphitheater environment.

·         Must be capable of operating various events and amphitheater equipment, hand and power tools. Must be capable of safely operating and maneuvering vehicles and equipment.

While performing the duties of this job, the employee regularly works in outside weather conditions. The employee may work near moving mechanical parts and is frequently exposed to wet and/or humid conditions. The employee occasionally works in high, precarious places. The employee is occasionally exposed to fumes or airborne particles, toxic or caustic chemicals, and may experience the risk of electrical shock.           

The noise level in the work environment is usually moderate in the office, and moderate to very loud during events and at the amphitheater. Must be able to work in a loud-noise environment for extended periods of time. Must be able to wear a radio earpiece during shifts. Hand-eye coordination is necessary to operate a computer, various pieces of office equipment, amphitheater equipment, tools, and vehicles.           

While performing the duties of this job, the employee is regularly required to use hands to finger, handle, feel or operate objects, tools, or controls and reach with hands and arms. The employee frequently is required to stand, walk, sit, and talk or hear. The employee is occasionally required to climb or balance, stoop, kneel, crouch or crawl, and smell.        

The employee must be able to perform moderate to strenuous physical labor, participate in and set up equipment for amphitheater programming and special events. The employee must frequently lift and/or move up to 50 pounds, preferably unassisted, and occasionally lift and/or move up to 100 pounds with assistance. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

Equipment Used: Motorized vehicles and equipment, common hand and power tools, shovels, wrenches, mobile radio, phone, computer, calculator, point of sale system, Microsoft Office and Microsoft Teams software, timekeeping and scheduling software, events and amphitheater equipment and software, and printer/copy/fax machine.

Supervision Exercised:  Events and Recreation Coordinator, seasonal support staff, and volunteers.

Qualifications:

·         Self-motivated, innovative team player with supervisory experience, who can also work well individually.

·         College degree in a related field or four or more years of professional experience in a performing arts or events management position is required.

·         Experience in planning and executing special events and/or performing arts programming is required.

·         Ability to communicate effectively orally, and in writing, with the public, partners, customers, and coworkers.

·         Ability to establish and maintain effective working relationships with peers, supervisors, and other departments, partners, and agencies.

·         Pleasant and outgoing personality with an ability to communicate in a professional, courteous, and timely manner, both verbally and in writing, when dealing with Town of Dillon employees, citizens, guests, customers, participants, and vendors.

·         Demonstrates emotional intelligence to include self-awareness and accurate self-assessment, sensitivity and empathy, openness, reliability, and consistency.

·         Previous customer service and supervisory experience required.

·         Valid driver’s license with an acceptable driving record.

·         Ability to understand and carry out written and oral instructions.

·         Ability to prioritize and perform multiple tasks and assignments and meet deadlines.

·         CPR/AED and First Aid Certification are preferred. Training provided.

·         Ability to lift, push, and pull 50 pounds.

·         Ability to perform manual tasks for extended periods.

·         Must be detail-orientated and have exceptional organizational skills.

Hours: The Events & Venue Manager is a full-time position working an average of 40 hours per week. Scheduled hours vary and are determined based on event schedule and needs. This position may require early morning, late nights, weekend and holiday work, and work hours will need to be adjusted accordingly.
