The Membership Manager oversees welcoming new member inquiries, applications and intake, and support. The individual also manages hospitality for all meetings, classes and events internally. In addition, the Managerial level position serves as a committee liaison and is cross-trained with MLS support. An excellent Membership Manager is an organized and competent professional with strong communication and technology skills. You will be comfortable dealing with people, providing excellent customer service, and able to carry out duties with accuracy and speed.

Internal and External Customer Service

  •  Serves as a relationship builder to all members, vendors, educators and general public on the phone, via email, or in person. You are the face of the association!
  •  Maintain relationships with other REALTOR Boards and Non-Profits.
  •  Provide excellent and responsive customer service.

Membership Management

  •       Serves as first point of contact for new member applicants to review joining the association/ MLS, applications fees and deadlines.
  •  Maintain Membership Database
  •    Manage Office Transfers, Membership Drops, Email, Phone, Address Changes.

  Affiliates

  •   Pull Monthly Rosters from Rapattoni and distribute to appropriate parties.
  •  Pull Monthly Membership numbers and distribute to appropriately.
  •  Compile and report New Member Application’s and Drops and distribute appropriately
  •  Coordinate, scheduling, hospitality and compliance of New Member Orientation classes. Manages New Member Orientation Committee to ensure NMO is up to date with relevant content.

Annual Dues Billing

  •  Audit all REALTOR and MLS Only licenses, ensuring active licenses through the real estate commission and affiliated office information for membership billing and compliance
  • Prepare, Manage and Collect for Annual Dues Billing Process.

 Rapattoni Membership Database

  •  Inputs new REALTORS®, affiliates, and admin data into all SAR systems, including AMS, Matrix, broker tour, listserve, website, and rosters.
  •   Creates certificates for SAR educational classes and MLS Training classes completion through the input of member data, creation of the certificate, and sending them to the member. Also attaches certificate to the member account.

Association/Staff Operations

  •     Create and manage an association and staff master calendar for all association meetings, events, classes and staff projects.
  • Coordinate and schedule meetings.
  • Oversees file management including shredding and scanning of documents.
  • Build association processes to create efficiency and improve customer service where needed.
  • Serve as back-up to other staff roles when staff are out of the office.

Member Services

  • Manage Open House sign check out program through allocation of signs to members who need them and making sure they are returned on time.

SUPRA

  •     Serve as the primary point person for lockbox set up
  • Train member on how to use SUPRA
  •  Set up billing for SUPRA for members

Facilities Management

  •  Management of the SAR Building and ensuring the building is maintained.
  •  Order office supplies
  •  Maintain contractors list and ensure pricing is competitive.
  • Manage room rental reservations and scheduling.

Hospitality

  •    Leads hospitality for all classes, meetings and events.
  •  Order and pick up all food for Board and committee meetings during the year.
  • Create and follow a process for catering meetings and events.
  •  Manage Hospitality Room, ensuring cleanliness, and availability of supplies.

Board of Directors Assistance

  •  Take minutes at both MLS and SAR Board meetings and send to attorneys and ensure they are on the website each month.

Committee Liaison

  • Provide assistance and input as needed for a REALTOR® Professionals network.

Shared duties with SAR Staff

  • Assist with setting up and tearing down of classroom furniture for all meetings and classes.
  • Assist with sign in – sign out for all classes as needed. May accept payments by member’s day of class.

Location: This position is in-person work in our Dillon office. The position does provide some work-from-home flexibility.

Hours: Normal office hours are 8 am to 5 pm

Job Requirements:

Proven experience as office coordinator or in a similar role
Experience in customer service will be a plus
Must be quick to learn new technology systems.
Prefer knowledge of basic bookkeeping principles and office management systems and procedures
Knowledge of MS Office, Google Forms
Working knowledge of office equipment
Excellent communication and interpersonal skills
Organized with the ability to prioritize and multi-task
Reliable with patience and professionalism
Experience in a real estate office and MLS systems are a plus
