As an Administrative Associate in the Public Works Department, you’ll be a key player in this essential work.

Working under the general supervision of the Public Works Administrative Analyst, you’ll provide administrative and customer service support across all associated divisions: Engineering, Trash and Recycling, Utilities, Capital Improvement Projects, and Streets. This includes creating monthly reports, scheduling meetings, and maintaining conference room calendars, as well as maintaining filing systems and assisting with the department website. In addition to supporting our team internally, you’ll also provide effective communication with the public and other City staff–answering multiple phone lines, accurately routing calls, and responding to inquiries.

What You’ll Do in This Role: 

  • Provide Exceptional Customer Service: Answer phone calls, route calls, and address public inquiries. Process payments and issue receipts as needed.
  • Support Department Leadership: Create monthly reports, schedule meetings, and maintain calendars for the Public Works Director and Division Managers, including assisting with the preparation of meeting agendas.
  • Perform Administrative Tasks: Order office supplies and propose purchase card transactions. Assist with office equipment maintenance and replacement as necessary.
  • Facilitate Clear Communication: Prepare and proofread a wide variety of reports, letters, memoranda, and news releases. Handle inter-departmental communications, including receiving, sorting, and delivering packages and mail.
  • Maintain Department Information Systems: Keep department filing systems and records up to date. Develop and implement new filing systems for more efficient organization and easy access to information. Assist with updates to the city calendar and Public Works Department website.
  • Offer Comprehensive Departmental Support: Provide backup customer service for Solid Waste and Public Works Administrative Analysts. Assist with multiple Public Works programs and outreach to other departments and the public.

 

You Have: 

  • Equivalent to completion of high school or GED.
  • Minimum of six months experience in administrative support or bookkeeping.
  • Proficiency in email, calendar scheduling, purchasing practices, and Microsoft Office Suite (Excel, Word, and PowerPoint).
  • Experience with business correspondence writing and basic report preparation.
  • Ability to track activities, supplies, and authorizations using software or self-created systems.
  • Skill in accurate data entry and attention to detail.
